Privacy policy
Last updated: 3 November 2026 (draft)
ONExceed Ltd. ("ONExceed", "we") runs Followup, a service that places phone calls to the customers of small businesses in Ontario ("our clients") on their behalf, using an AI assistant. This policy explains what personal information we handle, why, where it is kept and your choices. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and its fair information principles.
Who is responsible
For customer calls, the business that served you decides to call you and gives us your details; we process them for that business. For our own website and sales contacts, ONExceed is responsible. Our privacy contact is listed at the end of this page.
What we collect
| Information | From | Why |
|---|---|---|
| Customer first and last name, phone number, optional email, date and type of service, and whether a reminder or quote follow-up was agreed | The business that served you | To place the call the business asked for and give the business the result |
| Call recording, transcript and a short summary | The call | To tell the business what you said, check call quality and resolve disputes |
| Your answer to "may we call when the next visit is due", and any request not to be called | The call | To respect your choice on future calls |
| Business owner name, email, phone, sign-in records and consent confirmation | The business owner | To run the account and keep a record of consent |
| Name, business and mobile from the sample call form | You, on this website | To place one sample call you asked for |
Calls are recorded
Every call says at the start that it is an AI assistant calling for the business and that the call is recorded. If you do not want the call recorded, you can hang up at any time, or ask to be put on the do-not-call list.
Where your information is stored
Our servers are in Germany (Hetzner Online GmbH, Nuremberg). Encrypted backups are kept with Cloudflare R2. Your information is therefore stored outside Canada and may be accessible to courts and authorities in those countries. We use service providers for calling, speech and language processing and email; they receive only what they need to do that work and are bound by contract to protect it.
How long we keep it
- Call recordings and transcripts: [retention period for counsel to set] after the call, then deleted.
- Do-not-call requests and consent records: for as long as the business is our client, plus the period the law requires.
- Sample call requests: 90 days.
Your choices
- Say "please don't call me again" on any call, and that number is not called again for that business.
- Ask to see or correct the information we hold about you, or ask us to delete it, by contacting us below.
- Complain to the Office of the Privacy Commissioner of Canada if you are not satisfied with our answer.
What we do not do
- We do not sell personal information.
- We do not call numbers bought from lists. Each business confirms its customers gave their number for the work done.
- We do not use your information to train AI models for other businesses.
